Whether you craft enchanted jewelry, hand-pour sacred candles, or curate collections of ethically sourced crystals, this handbook will guide you through everything you need to know about selling on our platform.


1. Getting Started

1.1 Registering as a Vendor

To begin your journey, you’ll need to create an account and apply to become a vendor. We manually review each application to ensure quality and compliance with our marketplace policies. Follow these steps:

  • Sign up on Crafty Covens and navigate to the vendor membership page.
  • Provide details about your shop.
  • Choose a Membership Plan.
  • Await approval (typically 1-3 business days).

1.2 Setting Up Your Shop

Once approved, you can set up your shop by:

  • Adding a shop banner and profile picture.
  • Writing a compelling shop description.
  • Configuring shipping options and return policies.
  • Setting up your preferred payout method (Stripe required).

2. Listing Products

2.1 What You Can Sell

Crafty Covens welcomes a variety of mystical and handmade items, including:

  • Handmade ritual tools (wands, athames, chalices, etc.).
  • Small-batch candles, oils, and incense.
  • Handcrafted jewelry with metaphysical significance.
  • Ethically sourced crystals and gemstones.
  • Tarot and divination tools.
  • Herbal blends and spell kits.
  • Occult and esoteric artwork.

2.2 Prohibited & Restricted Items

To ensure a safe and ethical marketplace, the following items are not permitted:

  • Mass-produced or factory-made goods.
  • Items claiming to provide guaranteed results (e.g., spells, curses, or miracle cures).
  • Animal remains not ethically sourced or legally obtained.
  • Weapons or dangerous materials.
  • Any product violating local or international laws.

2.3 Creating a Product Listing

Each product listing should include:

  • A high-quality image (see section 2.4 for size recommendations).
  • A detailed description, including materials and usage.
  • Appropriate tags and categories.
  • Clear pricing and stock levels.

2.4 Image Size Guidelines

To ensure a professional and consistent appearance across the marketplace, vendors should adhere to the following image size recommendations:

  • Vendor Store Banner: 600 x 300 pixels
  • Product Images:
    • Main Product Image: 800 x 800 pixels (allows zooming and clear detail display)
    • Product Thumbnails: 324 x 324 pixels
  • Category Images: 300 x 300 pixels
  • Vendor Profile Picture: 300 x 300 pixels

Maintaining these standard sizes will ensure optimal display and a visually appealing storefront.


3. Managing Your Shop

3.1 Orders & Fulfillment

  • Ship orders promptly according to your stated processing time.
  • Provide tracking numbers when applicable.
  • Communicate with customers if delays occur.

3.2 Customer Service & Communication

  • Respond to inquiries within 48 hours.
  • Handle disputes professionally and in accordance with Crafty Covens’ policies.
  • Use the in-platform messaging system to maintain transaction records.

3.3 Handling Returns & Refunds

  • Clearly state your return/refund policy in your shop settings.
  • Refunds should be processed through the platform when necessary.
  • Report any fraudulent chargebacks or issues to the Crafty Covens support team.

4. Vendor Fees & Payouts

4.1 Commission Structure

Crafty Covens takes a small commission on each sale to maintain the platform and promote vendor success. The current commission rates are:

  • Free Seller (No Membership): 6% + $0.25 per sale
  • Starter Seller: 5% + $0.25 per sale
  • Advanced Seller: 4% + $0.25 per sal
  • Pro Seller: 3% + $0.25 per sale

4.2 Payout Schedule

  • Payments are processed immediately via Stripe upon order completion.
  • Ensure your Stripe account is set up and verified to receive funds.
  • Stripe may have its own processing times or holds based on risk factors and account status.

5. Marketing & Promotion

5.1 Featured Vendor & Best Seller Badges

  • Vendors with outstanding sales, customer feedback, and engagement may receive special badges.
  • Promotional opportunities are available for top-performing shops.

5.2 Running Sales & Discounts

  • Vendors can set up discounts through their vendor dashboard.
  • Limited-time sales events will be announced on the platform.

5.3 Social Media & Community Engagement

  • Participate in our community forums and events.
  • Share your shop on social media to drive traffic.

5.4 Image Usage in Promotions & Categories

By listing products on Crafty Covens, you grant us permission to use your product images for promotional purposes, including but not limited to:

  • Category images (to visually represent product types)
  • Homepage banners & featured sections
  • Social media promotions & marketing campaigns
  • Paid advertisements to drive traffic to the marketplace

We will never claim ownership of your images, and they will only be used to promote your products and the marketplace as a whole.

Vendor Image Rotation & Removal

  • We periodically update category images to feature different vendor products.
  • If a vendor discontinues their store, we will make reasonable efforts to remove their product images from category images and future promotions.
  • Previously used promotional materials (such as past social media posts) will not be retroactively altered.

6. Compliance & Policies

6.1 Ethical Sourcing & Authenticity

  • Vendors must be transparent about their product sourcing.
  • Any fraudulent or misleading claims may result in account suspension.

6.2 Legal Compliance

  • Vendors are responsible for ensuring their products comply with local, state, and federal regulations.
  • Certain herbal products, supplements, or items with claims may require disclaimers.

6.3 Account Termination

  • Crafty Covens reserves the right to remove vendors who violate policies or engage in unethical business practices.
  • Vendors can appeal terminations by contacting support.
